People and Administration Manager – Warsaw -hybrid

Type of contract: B2B/UoP

For our client – a fast-growing international tech company – we are looking for a proactive and detail-oriented People & Administration Manager who will take ownership of both HR operations and office administration.

This is a key role within the People & Culture team, combining administrative leadership with responsibility for building HR processes, ensuring full legal compliance, and delivering a smooth employee experience. The ideal candidate will be a trusted point of contact for both employees and external vendors, with strong organizational skills and a service-oriented mindset.

Key responsibilities

HR / People Operations:

  • Build and manage all employee lifecycle processes: onboarding, offboarding, contracts, benefits, leave, etc.
  • Maintain and organize employee documentation in compliance with Polish labor law
  • Support the payroll process by preparing necessary data and coordinating with external providers
  • Be the main point of contact for employees regarding HR and legal matters
  • Ensure proper implementation and ongoing improvement of HR policies, procedures, and documentation
  • Cooperate with legal advisors and tax consultants on employment-related topics
  • Assist in implementing new HRIS and process automation tools
  • Support team leaders in all employee-related formalities and documentation
  • Ensure GDPR compliance across employee and candidate data handling

Office & Administration:

  • Manage office operations and daily administrative tasks in the Warsaw office
  • Oversee cooperation with office suppliers and service providers (e.g. insurance, IT, events, travel)
  • Coordinate administrative processes for remote team members across different locations
  • Take care of business documentation, invoicing coordination, and contract archiving
  • Organize and support internal meetings, events, and travel logistics
  • Ensure the smooth functioning of all office-related procedures and communications
  • Manage internal tools and systems supporting company operations

Ideal candidate profile:

  • 5 years of experience in HR operations and/or administration
  • Excellent knowledge of Polish labor law and HR documentation standards
  • Strong understanding of payroll, benefits, and compliance matters
  • Fluent Polish and very good English (both written and spoken)
  • Exceptional organizational skills and attention to detail
  • Proactive, trustworthy, and solution-oriented mindset
  • Ability to work independently and manage multiple responsibilities
  • Experience in a fast-paced, international, or tech/startup environment is a plus
